The success of any great event or organization is governed by the volunteers and the community that gets involved with a group and makes things happen. Without volunteers and organizers forming committees, no group could function. Follow these steps to build a great committee for any community event or organization.
First Time Event
Find a location for regular meetings. Community centers are free and are easy to work with. Sometimes you will need to use a restaurant. Check ahead of time to see if there are any purchase requirements to use a room of a restaurant.
Advertise in the local media. Put flyers out everywhere with contact information and a first meeting date. Focus on locations where the people you feel are your target demographic hang out. For example, you probably wouldn't put flyers for a Mom's Night Out committee at a retirement center.
Review any applicable guidebooks to see what each position entails. (If you are putting together a committee for an event like the American Cancer Society's Relay for Life or an American Red Cross blood drive, look to these organizations' guidebooks or national materials for assistance. Think of people you know who are good in each areas needed. Talk to the people about getting involved. Invite them to the first meeting.
Contact people in the specific industry and those who you know have been affected by anything relating to your committee. Using the Relay for Life committee mentioned in Step 3, you could contact a local hospital or cancer treatment center for guidance and involvement.
Listen to people at the first meeting. Make notes of the areas each person is interested in. Give them the appropriate guidebook and follow up with them before the next meeting for a commitment.
Consult notes from any previous events when such a committee was involved. Call those people involved in previous committees and ask for a commitment.
Schedule meetings and offer an invite to the entire community from the previous year.
