A federal tax identification number, also known as an employer identification number (EIN), is a numerical identifier assigned solely to your business by the Internal Revenue Service (IRS). It is used to identify your entity to several federal agencies responsible for the control and management of business. Any organization which offers products or services in Virginia and pays any form of taxes must have a federal tax ID number and a state ID number. You can apply by mail, fax, phone or online for federal and state tax ID numbers.
Federal Tax ID
Apply by mail. Accurately complete IRS Form SS-4, Application for Employer Identification Number, and mail to it the Internal Revenue Service Center, Attention EIN Operation, Holtsville NY 11742. You will receive your EIN number in about four weeks.
Send the application to the IRA by fax. After the form has been completed, you can fax the documentation to 631-447-8960. Include your fax number in the application so the EIN number can be transmitted back to you in about four business days.
Apply by phone. Contact your nearest local IRS field office or call the IRS business and specialty tax hotline at 800-828-4933. Have the SS-4 form completed and available along with any other information you may need. Hours of operation are 7:00 a.m. to 10:00 p.m. local time. With this method of application, you will immediately be issued an EIN number.
You can also apply online via the IRS website (IRS.gov/businesses) and click on "Employer ID Numbers." This method does not require completion of the SS-4 form. Your online application will be done in an interview style with you responding to questions being asked by the IRS. After all the validations are complete, you will immediately be issued an EIN number, and your confirmation notice can be downloaded, saved, and printed
State Tax ID
Register your business with the Virginia Department of Taxation. Once you obtain your federal ID number, you must also apply for a state tax identification number. All businesses that have employees must possess both a federal and state tax number.
Send your completed Form R-1, Virginia Department of Taxation Business Registration Application, to Registration Unit, Virginia Department of Taxation, P.O. Box 1114, Richmond, VA 23218-1114. You may also fax this paperwork to 804-367-2603.
Register your business online on the state's website (find the link under Resources). This informative website is a fast, easy and secure method to receive a tax identification number for your new Virginia business. How long it will take for you to receive your ID number varies; however, the average time is usually between one to eight days.
The EIN number can be used immediately for opening a bank account, applying for business licenses, and filing a tax return by mail. However, it will take up to two weeks before your EIN becomes integrated into the IRS’ permanent records regardless of what application method you have used.
