Examples of Business Voicemail

Business voicemail is different from home or cellular voicemail in that it must relay more information and has a professional rather than a familiar tone. The parts of a business voicemail include the greeting (which states your name and the name of your company), the body (which lets people know what to expect of returned messages), and the valediction (which is usually a simple “thank you”).

Greeting

“Thank you for calling [name of company]. You have reached the desk of [your name]. I am currently out of the office and unable to take your call. Please leave your name, phone number and a detailed message, and I will return your call as soon as possible. Thank you.”

Instead of saying “as soon as possible” for returning messages, you may want to state how soon you will return the message, such as two business days.

Busy

Note: although busy greetings may be useful, they can sometimes prove troublesome in that a person leaving a message might expect that a call be returned sooner.

“Thank you for calling [name of company]. You have reached the desk of [your name]. I am currently on another call. Please leave your name, phone number and a detailed message, and I will return your call as soon as possible. Thank you.”

Detailed

Detailed greetings are useful in that they appear to be more professional; however, detailed greetings are often more tedious to keep up.

“Thank you for calling [name of company]. Today is [what day of the week] and you have reached the desk of [your name]. I will be out of the office until [date] at [time]. If you need assistance before then, please contact [name of person] at [phone number]. Thank you.”
